1. The Black Card
The Black Card is The Catherine Wheel's members' card ("we", "us", "the pub": 38 Henley Road, Sandford-on-Thames, Oxford OX4 4YP). It gives you members' prices on food and drink, members' offers and, when we offer them, free tickets to some of our events. It lives on your phone, at the private link we send you.
2. Who can have one
You must be 18 or over. One card per person.
The card is personal to you. It can't be lent, shared, sold or transferred, and its prices and offers are for your own food and drink.
We decide who is offered a card, and we may refuse or withdraw one at any time.
3. Activating your card
Your card works once you have activated it in the app: given us your full name, email address, mobile number, date of birth and postcode, and agreed to these terms.
The details you give must be true and your own. Please keep them up to date in the app.
3A. Applying for a card
Anyone 18 or over can apply for a Black Card in the app, giving the details in section 3 and agreeing to these terms. We decide whether to give you a card (section 2). If we do, we'll email you its link. If we don't, we delete your application.
A card we give you from an application during our launch month (13 to 31 October 2026, section 6) is switched on straight away, from the day we give it, and kept on by section 6 like any other. From 1 November 2026, a card we give you from an application isn't switched on straight away: it switches on the moment your spend reaches 100% of the monthly target in a calendar month (section 6), counting from the month we give you the card. Until then you can scan it with every order so your spend counts, and the app shows how close you are as a percentage, never the amount. Members' prices, offers, perks, free tickets and stars aren't yours until it's on, and the card shows NOT ACTIVE YET.
Once it has switched on, it's a Black Card like any other under these terms, and the months before never count against you. We may switch a card on sooner — for somebody who already had a Black Card, for example.
4. Using your card
Show your card on your phone — in the app, or in Apple or Google Wallet if you've added it — and let us scan it with every order. A screenshot, photo or printout of a card isn't accepted, and staff may ask to see the card in the app.
Members' prices are rung through by our staff at the till. Staff may ask to see ID.
Scanning your card records what you spend with us. It doesn't share what you bought with anyone else, and the app only ever shows you your progress, not your purchases.
5. Members' prices, offers and perks
The members' prices, offers and perks are the ones we show in the app at the time. We may change, add or end them.
They can't be combined with other offers unless we say so, have no cash value, and are subject to availability.
6. Keeping your card active
To keep your card active, your spend each calendar month needs to reach our monthly target. The app shows how close you are as a percentage; at 100% you have reached it.
Only spend on orders scanned to your card counts, after any discounts and refunds. Tips don't count.
You can miss the target for one month. If you miss it two months in a row, your card is switched off: members' prices, offers and free tickets stop. Keep scanning your card — as soon as you reach 100% in a month, it switches back on. A month saved with a star (section 6A) counts as reached.
The month you join never counts against you (except the launch month, below), and nor does the month a cancelled card is reinstated. We set the target and may change it; if we do, we'll tell you in the app before it applies.
Our launch month runs from 13 October 2026 to 31 October 2026, with its own target for those weeks — the app shows it as a percentage like any other. It counts for every card, including one you got in October. If yours doesn't reach 100% in the launch month, it's switched off from 1 November: keep scanning, and as soon as you reach 100% in a month it switches back on. From November, the rules above apply as usual.
6A. Premium months, stars and Lifetime Black Card
Above the monthly target is a Premium level. Once you've reached 100% in a month, the app shows how close you are to Premium, again as a percentage and never the amount. Reach it and that month is a Premium month. The month you join can be a Premium month too.
Each Premium month earns you one star, ready to use once that month's result has been recorded early the next month. A star covers a month in which you don't reach the target: use it in the app during that month, or in the first 7 days of the month after, and that month counts as reached. If you then reach the target yourself, or the month never counted against you — like the month you joined — you keep the star. Otherwise the star is used up, even if missing that one month wouldn't have switched your card off.
Stars have no cash value and can't be exchanged or transferred. They don't expire while your card is active. If your card is cancelled, its stars, its Premium months and any Lifetime Black Card end with it, and they don't come back if the card is later reinstated.
Twelve Premium months in a row make your card a Lifetime Black Card: from then on you don't need to reach the monthly target to keep it on. "Lifetime" means for as long as The Catherine Wheel runs the Black Card scheme (section 9). The rest of these terms still apply, so a Lifetime Black Card can still be suspended or cancelled under section 9.
A month saved with a star counts as reached, but it isn't a Premium month, so it ends a run of Premium months and the twelve start again.
Only orders you pay for yourself count. Each month's result is recorded early the next month, and that recorded result is what counts. If we find a month was recorded wrongly — spend scanned to the wrong card, or other people's orders scanned to yours — we'll correct it, and that may change your stars or your Premium months.
We set the Premium level and may change it; if we do, we'll tell you in the app before it applies.
7. Free event tickets
When we offer them, members can have up to 4 free tickets to each of our events sold on Eventbrite. The app gives you one code per event, to use when you book on Eventbrite. Tickets are subject to availability and to Eventbrite's own terms.
Each code can be used for up to 4 tickets, for you and the people you bring. Free tickets have no cash value. We may leave some events out, and we may cancel tickets that were obtained by misusing the card.
8. Lost phone or link
Your link is your card. If you lose your phone, or think someone else has your link, tell us at the bar or on 01865 586657. We'll send you a new link and the old one stops working straight away.
9. Ending your membership
You can end your membership at any time: tell us at the bar or email [email protected].
We may suspend or cancel a card that is shared, copied or misused, or where a member is abusive to staff or other customers. We may end the Black Card scheme; if we do, we'll give members at least 30 days' notice in the app.
10. Changes to these terms
We may change these terms. When we do, the app will show you the new terms and ask you to agree to them before your card works again.
11. Drinking responsibly
The Black Card never obliges anyone to drink, and spend on soft drinks and food counts just the same. Licensing law applies to every sale: our staff may refuse service, and members' prices never change that.
12. Your information (privacy)
The Catherine Wheel looks after the information on your Black Card. We hold your name, email address, mobile number, date of birth, postcode, card number and the date you joined; any notes our staff keep on your card; when you agreed to these terms and whether you want our emails; what you spend on orders scanned to your card; whether you reached the monthly target and the Premium level each month, which shows roughly what you spent, though not the amount; the stars you've used; and which events you've had a free-ticket code for.
We use it to decide on an application and to run your card: to check you're 18 or over, to work out your monthly progress, your stars and your Premium months, to give you members' prices and free tickets, and to contact you about your card. That is what you've agreed to by applying for or activating it. We only send you emails about events and offers if you've said yes, and you can change your mind at any time in the app.
Your card number and name are held in our till system (Square), which is how your spend is recorded when your card is scanned. When we email you your card's link, our email provider sends it for us. When you book free tickets, Eventbrite handles the booking under its own privacy notice. If you add your card to Apple Wallet, it is kept on your phone; if you add it to Google Wallet, Google also keeps a copy of it (your name, card number and the month you joined) in our Google Wallet account. We don't sell your information to anyone.
We keep an application until we decide on it, and delete it straight away if we don't give you a card. We keep your information while you're a member and for 12 months after your card ends, then delete it, unless the law requires us to keep something longer. We can't delete the copy Google keeps of a card added to Google Wallet; you can remove the card from your phone at any time.
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it, by emailing [email protected]. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
13. The law
These terms are governed by the law of England and Wales. Nothing in them affects your rights under consumer law.
